Position Summary: The Receptionist/Human Resources Assistant is responsible for answering incoming calls, directing calls to appropriate associates, greeting guests, mail maintenance and distribution, flow of correspondence, requisition of supplies as well as additional clerical duties. HR Administrative Assistant also handles various administrative support functions for the HR Department including but not limited to management of employee recognition and wellness programs, assisting with planning and execution of company events, charity initiatives, and additional meetings/trainings as well as handling all travel arrangements for employees and candidates. Essential Job Functions: Specific tasks will include, but are not limited to, the following: Answers all incoming calls from a multi-line PBX system, transfers/routes all calls and takes messages as necessary.
Greets and directs visitors with exemplary customer service.
Effectively communicate, work with, and build relationships with all levels of constituents including culturally and linguistically diverse staff members and external candidates and/or vendors, while operating in a fast-paced customer service driven environment.
Successfully remain organized and complete assigned tasks on time with a limited number of errors.
Maintain and order Labor Law Posters for all office locations as necessary.
Manage travel arrangements for employees.
Performs daily administrative support to the Human Resources Team.
Supports the Benefits Coordinator in Wellness Activities
Plans and prepares the Weekly Wellness meal program
Orders weekly fruit orders for the corporate office
Maintain NFM Lending’s Intranet as it relates to HR Events and messages to employees
Review and approve Value awards for employees
Prepare and mail Birthday and anniversary cards to employees
Performs inventory of all office supplies on a weekly basis and restocks as necessary.
Track and sort all incoming packages and mail and distributes them to the appropriate individuals/departments.
Maintain corporate power point slides
Processes outgoing mail and packages.
Creates and sends companywide announcements for all new hires.
Manages employee recognition programs.
Maintains office directories.
Maintain the highest level of confidentiality.

Required Job Functions: Specific tasks will include, but are not limited to, the following: Assist with answering basic HR questions as needed.
Assist with creation and analysis of Survey Monkey Surveys to support HR initiatives.
Scans and/or files documents as requested.
Assist with New Hire Orientation.
Assist with day to day HR department functions and projects.
Partner with Marketing on HR events for employees
Assists in organization and preparation for Company events and meetings, and charity initiatives.
This position may require occasional overtime and travel.
Additional tasks as assigned
