Summary: Heavy emphasis on maintaining a customer facing service environment with an eye towards removing internal and external client barriers to success, while scheduling, supporting, creating, and directing assigned events.Working with cross functional teams in the creation and implementation of outstanding community events, while encouraging high utilization of the facilities.Performs administrative and clerical duties to support the Business Manager & Events Director; performs related work as required.This position will require working non-traditional hours in the support of the public and events taking place. This is a 24-hour facility requiring the Event Coordinator to be on-call working variable and changing shifts during weekdays, weekends, evenings, and holidays based on public need and events. Responsibility for opening and closing the park daily.The events coordinator works directly with the Business Manager & Events Director in all areas of event management, including but not limited to: contract creation and management, event creation, management, supervision, and setup, AV teardown and setup, concessions supervision, and calendar development.Heavy emphasis will be placed on creating and maintaining a customer facing atmosphere in all areas of business, while maintaining a focus on the best interests of the facilities, the public, and the elected officials we serve. Creating and maintaining a positive culture among associated staff will be critical in the success of this position. A professional and friendly demeanor is expected while working with internal and external clients.The Event Coordinator has direct responsibility for, or may be required to assist in, the training, scheduling, supervision, and evaluation of full-time and seasonal staff, as well as volunteers. It is anticipated that this position will aid in the supervision of Assistant Parks Coordinators and the Administrative Assistant. The Event Coordinator will perform all Management Assistant duties during periods of position vacancy.Performs other duties as assigned. Nothing in this job description restricts management's right to assign or reassign duties and responsibilities to this position at any time.Job Responsibilities: This position entails working directly with the public daily, requiring professional and courteous exchanges with both internal and external clients. A heavy focus is given to assisting with community events in various capacities including, but not limited to, setting up/taking down: audio video systems, tables, chairs, tents, and canopies.Consistency in contracts will be achieved through strict adherence to the publicly noticed fee schedule, and will be contrived in a win/win spirit keeping the best interest of the facility, the County, tax payers, and its users.While this position may be focused in the supervision of individual operational areas, such as: concessions, events, facilities, grounds & maintenance, etc. they will share in the supervision of and be responsible for and functions with other Assistant Parks Coordinators. During the busy summer months, additional responsibility of scheduling and direct supervision of seasonal, or other temporary employees. The job is supervised by the Assistant Operations Manager. The job requires knowledge of grounds keeping and landscaping skills, building trade skills, and the ability to operate the tools and equipment required to complete the assigned tasks. The job requires the ability to maintain a collaborative and cooperative working relationship with elected and appointed officials, other County employees, other organizations, and the general public.The work environment includes office work, duties in or around equestrian facilities, and parks and recreation areas. While much work will be in a climate-controlled environment, duties will require outdoor work with outdoor weather conditions including extreme temperatures. The job is occasionally exposed to hazardous chemicals, light/medium/heavy equipment, power equipment, and noisy and/or loud equipment, which subjects the employee to mechanical hazards. The job requires supervision and assisting staff with AV, event setup, maintenance work, light/medium/heavy equipment, power tools, and motor vehicles.Desired Qualifications: Knowledge of:Scheduling staff.
Supervision of the events and concessions staff.
Liaise with and coordinate vendors, venues, and other stakeholders to plan, implement, and evaluate events and promotions.
Conduct market research, gather information, and negotiate contracts. Ensure compliance with insurance, legal, health, and safety requirements.
Organize facilities and details, including décor, catering, entertainment, transportation, location, invitation lists, special guests, equipment, promotional materials, and other items. Work closely with the Director and other staff to market and publicize events.
Understand and coordinate complex and multi-level event and promotion activities, with diverse stakeholders and targeted populations, on a variety of topics.
Create and organize templates, timelines, and check lists for event/promotion activity planning and implementation.
Delegate tasks, as appropriate, to staff and volunteers.
Assure attentiveness to budget and value for the funding to achieve the greatest return on investment.
Manage events and promotions through communications with a variety of stakeholders and vendors, including problem-solving, welcoming guests, directing set-up and tear-down activities, organizing vendors, and related duties.
Troubleshoot and proactively handle any emerging problems and other challenges prior to and during events.
Maintain relationships with vendors and other stakeholders to create opportunities for improvements and new event proposals. Conduct pre- and post-event evaluations. Propose ideas to improve the quality and impact of events and promotions.
Assure consistent and timely communications with BCEC staff, vendors and venues, targeted populations and stakeholders, and others to move events and promotions forward.
Gather and provide feedback and reports for Business Manager & Event Director and stakeholders.

PHYSICAL REQUIREMENTSWhile performing the duties of this classification, the employee is frequently required to stand, walk, sit, stoop, kneel, bend, climb ladders, work at heights, and in confined spaces. The job requires hand/finger dexterity to handle materials, manipulate tools, operate a computer, and reach with hands and arms. The job requires operation of job-related equipment and driving a vehicle. The employee must occasionally lift and/or move up to 75 pounds with assistance. Sufficient visual acuity and hearing capacity to perform the essential functions and interact with the public is required.
