The main roles of this position are negotiating hotel rates, requesting hotel rooms and room blocks, gathering and organizing traveler information, and ensuring virtual payments are sent and received by the hotel. At Uniglobe, We save our clients time and money on travel through second-mile service.Essential Duties and Responsibilities· Maintain a relationship and act as the liaison between our lodging partners and the client· Negotiate hotel rates and secure rooms and room blocks.· Manage room blocks and attrition· Request and provide housing availability in efficient and timely manner.· Assure all relevant information pertaining to clients are disseminated to all appropriate parties.· Generate virtual payment token and ensure hotel receives credit card· Invoices client thru GDS system· Maintains and promotes professional and courteous client relations by managing a prompt and accurate response to telephone and email communications· Checks GDS system for hotel rates and book hotels· Ensures optimum customer service through email and effective use of phone systems and positive telephone service techniques· Request, review and implement corporate housing lease agreements, invoice, communicate move in instructions and vacate notifications and be available to handle any housing needs that occur including service issues· Must be able to work under deadlines· Must be very organized and use time management skills· Must be able to change productively and to handle other tasks as assigned· Capable of working in a team environment supporting management, staff and co-workers, following policies, providing feedback, assisting in special projects, and taking on additional responsibility· Work independently in the absence of supervision· Assumes and performs other duties and responsibilities not specifically outlinedRequirements· Experience in the Travel Management, Hotel or Property Management· Exemplary sales skills and customer-oriented approach· Well versed in various areas of travel (domestic/international, business, group/individual etc)· Demonstrable ability to handle crises· Degree in Hospitality, Travel, Tourism, Business or relevant field is preferred· Candidates with personal travel experience are preferredResponsibilities: Maintain a relationship and act as the liaison between hotel properties and Client (Company) Reconcile Client (Company) once a hotel block is secured Upon check out request a copy of portfolios for reconciliation Invoice additional charges or apply for credits if needed Generate reports for each group reservation once all travelers have checked out Maintain a tracking report with checklists that reflects each group, dates, amounts of rooms, locations. Maintain and promotes professional and courteous client relations by managing a prompt and accurate response to telephone and email communications.Opportunity for training on Worldspan, our global distribution system (GDS) to check and book hotels Ensure optimum customer service through email and effective use of phone systems and positive telephone service techniques.Requirements: Must be able to come to work promptly and regularly. Request, review and implement corporate housing hotel agreements, invoice, communicate with the hotels to ensure virtual credit card authorizations were received. Must be able to take direction and work well with others and exemplify trust between co-workers. Must be able to work under the stress of and meet deadlines. Must be very organized and use time management skills Must be able to concentrate and perform accurately while meeting applicable productivity measures Must be a team player Must be able to change productively and to handle other tasks as assigned. Capable of working in a team environment supporting management, staff and co-workers, following policies, providing feedback, assisting in special projects, and taking on additional responsibility.
