Summary The Fleet Services Division is searching for a seasoned professional to serve as an Personal Property Administrator 1. As the Fleet Services Administrator I, you will be involved in daily interaction with the organization at all levels as well as external contacts. The successful candidate for this role will be a self-starter who has excellent interpersonal skills, keen attention to detail, ability to work in a fast-paced environment, a solid background in providing high level administrative support, and are comfortable managing assignments/projects independently.

Job Duties The successful candidate, at a minimum, will demonstrate skill or ability to:
Provide excellent customer service, day-to-day program policy direction, and ensure program compliance with policies and procedures.
Interpret and explain policy to client agencies, including relevant state, federal and local laws to the public.
Track and maintain complex data from multiple sources.
Track auction sales, Negotiated BIDS, Sealed BIDS, reports, titles, auction and surplus.
Analyze sales and other auction sales to establish current value of personal property.
Produce invoices, confirm all applicable sales taxes has been added, collect proper performance bonds, and conclude bidder notification and sales documentation.
Research titles as needed, obtain back up documentation and title assurance, lost title work. Work with agencies to communicate sale and/or pickup of surplus sales recorder.
Cross-train in all areas to serve as back-up in all section roles as needed.

Experience, Qualifications, Knowledge, Skills WE ARE LOOKING FOR CANDIDATES WHO:
Have a strong background with senior-level administrative support and are able to use good judgment in making independent decisions with a high degree of tact and diplomacy; OR an equivalent background of education and experience.
Enjoy working collaboratively in a team environment. Willing to pitch in to help other team members.
Are comfortable learning new technology and systems. Can think differently and are eager to try new things and challenge themselves to improve processes.
Have proactive time management skills and successfully complete tasks on time. Enjoys juggling multiple competing priorities with tight timelines and efficiently prioritizes work.
Experience designing and producing inventory reports for client agencies; prepare and maintain a documentation audit trail and conduct field audits and physical inventories to verify accuracy of agency listings.
Understand the external sites and the vehicles in each remote dispatch location and act as Liaison between Surplus manager and internal agencies for surplus questions and needs.
Are comfortable using office productivity tools, relational databases, and payroll/financial systems in their daily work. (The county uses Microsoft Office, PeopleSoft Time & Labor, and Oracle EBS).

Temporary Telecommuting Requirement
The work associated with this position will be performed both in-office and remotely, at least through July 5, 2021 in compliance with ’s telecommuting mandate. It is possible that the work will be performed in-office and remotely on an ongoing basis after July 5, 2021. Employees will be provided with a County issued laptop and must maintain a workspace with an internet connection where they can reliably perform work and remain available and responsive during scheduled work hours. Employees must reside in WA state and within a reasonable distance to their worksite to respond to workplace reporting requirements. There will be situations where the employee is required to report to a County worksite. Please note that when an employee conducts work that is likely to bring them in contact with another individual, safety precautions are required by the department in alignment with the Public Health Directive from the Seattle & Public Health Officer.
