Scheduler/Administrative Assistant
CIA Security is looking for an experienced and energetic Scheduler/Administrative Assistant to work with our fast growing and dedicated team!

Focuses on managing each area of responsibility to ensure accuracy, efficiencies, and best practices are incorporated within the organization
Assumes a leadership role within the organization in rectifying errors, addressing gaps, and continually improving the assigned functional processes with minimal management involvement
Regularly reports to management with recommendations, solutions and status
Maintains accuracy of business operating systems

Professional Requirements: Minimum 3 years of office administration responsibilities
Strong communication skills and ability to interact professionally with clients and co-workers
Minimum of 3 years of scheduling experience
Proficient with Microsoft Office (Word, Excel, PowerPoint, Outlook)

Responsibilities: Scheduling Prepare and track daily schedules for service and installation technicians. Keep informed of daily meetings, tasks and prepare supporting material/paperwork with attention to detail and accuracy. Enter jobs for invoicing and scheduling, and coordinate with salespeople.Executive Support Provide administrative support to company principals. All office/administration activities (mail, phone, greeting visitors, COI & insurance requirements, etc). Maintain office equipment & supplies. Maintain an orderly and accurate filing system. Provide process support to the organization. Lead special projects as requested. Maintain all licensing and permitting for company.Purchasing Create POs for all purchases. Communicate with vendors to place orders for material, track material for status and on-time delivery. Check-in all incoming products. Reconcile invoices to PO and monitor /resolve discrepanciesJob Type: Full-timePay: $35,000.00 - $45,000.00 per yearBenefits:Dental insurance
