Summary/Objective:The Administrative Assistant provides effective support for specific projects in functional area as assigned. Anticipates and executes needs of functional area including reporting, scheduling, and coordinating information compilation and distribution. Initiates non-routine and routine correspondence, documents and compiles reports into acceptable company standard.Essential Functions:Performs customer service functions by answering associate requests and questions.
Answers, screens, and directs incoming telephone calls ensuring a high level of customer service and confidentiality.
Greets visitors, ascertains nature of business, and conducts visitors to appropriate person.
Professional communication skills and demeanor are essential along with a positive, joyful personality.
Assists with Production scrap reporting and customer invoicing
Assists Human Resources with data entry, badge creation, employee assistance.
Sorts and distributes mail to various departments and facilities in Warren
Prints reports as needed by manufacturing associates, managing associates, sales associates, technical associates, and officers of the company.
Business correspondence as necessary.
Data Entry for engineering, accounting, HR.
Files correspondence or other printed matter.
Makes copies of correspondence or other printer materials.
Works with various department leaders and managers in coordinating ordering of production and office supplies.
Able to write routine reports and correspondence.
Schedules appointments, coordinates meetings and special events, makes travel arrangements, and prepares expense reports as required.
Prepares for customer meetings, including but not limited to, making coffee, buying beverages, bagels, etc., and ordering food.
Cleans and prepares conference room before and after meetings.
Set up meetings in Outlook and maintain calendars.
Assists with any other duties/projects given by supervisor(s).

Work Environment:This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.Physical Demands:The physical demands described here are representative of those that must be met by an associate to successfully perform the essential functions of this job. While performing the duties of this job, the associate is regularly required to sit and use hands to operate computer controls. The associate frequently is required to reach with hands and arms and talk or hear. The associate is occasionally required to stand; walk; climb; stoop or crouch. The associate must regularly lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds.Position Type/Expected Hours of Work:This is a Full-time position7:00 a.m. – 4:00 p.m., Monday-Friday, core work hours.Flexible hours to be availableMust be available to work overtime when requested from Supervisor.Travel:Travel is not expected for this position.Required Education and Experience:Associates degree (A.A.) or equivalent from two-year college or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience is preferred.
Experience supporting executives, preferably in manufacturing industry.
Experience handling matters of a confidential nature.
Proficiency in Microsoft Office Programs is required
Able to type 55 wpm (minimum)
Excellent communication skills, both oral and written
Outstanding organizational skills.
