Job Description: This Human Resources CoordinatorSenior Associate position will support key HR Services functions by managing and or supporting firm wide activities and/or programs in the following areas: staff activities, policy and procedures and compliance. Specific Job Responsibilities: Leave of Absence Assist and provide support in the management of the administration of FMLA/STD/LOA, including confirmation and communication with staff and managers on processes and procedures, including: Review LOA and disability dates against Workday entries
Serve as the first line of response with LOA requests using standardized templates and updating internal tracker
Prepare LOA confirmation letters and confirm RTW dates
Consults with employee and Business Unit management through the process, keeps BU’s updated on leave status and estimated return dates, ensures LOA information is entered into the appropriate systems;
Knowledgeable of and ensures compliance with all governmental regulations related to leave of absence (FMLA, ADA, etc. and all associated amendments.)

Flexibility Manage and support the administration of firm’s flexible work arrangements including all confirmation and communication with staff, people operations lead and business unit leaders on processes and procedures, including: Consults with employee and BU management through the process, keeps BU’s updated
Knowledgeable of and ensures arrangements are properly analyzed, documented and managed.
Manage the FWA data base activity as necessary, providing reports on a scheduled basis.
Send flexibility requests to new hires and prepare flexible work arrangement confirmation letters

Visa/Immigration – Assist with / support Immigration Function for the Firm Track non-immigrant visa expiration dates and communicate accordingly.
Assist with the postings for non-immigrant visa applications and green card applications.

Staff Activity Supporting the termination process in collaboration with HR management for all resignation and separation, managing the exit interview process, communicating all separations in a timely manner to appropriate firm wide contact, tracking documentation activity and ensuring employee communications are generated in an accurate and timely manner.

Policy, Procedure and Compliance Assist in providing guidance and interpretation of internal and external policies and review and propose changes to policies and procedures as needed; ensure policy and procedures related to areas of responsibility are reviewed and revised as necessary based on contract needs or industry best practices;
Assist in research, development, and implementation and communication of revised or new policy and procedures;
Assist with and coordinate with employees in complying with various client related security policies including processing additional background investigations, drug screening, finger printing, etc.
Compliance support related to client background checks and refreshers
Complete I-9’s for offsite employees and track I9’s for all new hires.

Miscellaneous Program Management: (as needed) Assist with Merger and Acquisition related activities.
Miscellaneous requests for verification of employment.
Participate on adhoc committees and HR or cross functional special projects as needed.
Assists in and the review of Workday reports up to and including termination, staff changes, new hire, etc. to ensure appropriate HR communication occurs
Create and/or update various policies accordingly on In and within SharePoint.
Monitor and respond to HR Services mailbox inquires as appropriate

Skills required include: Minimum of three – five years of exempt level experience in Human Resources.
PHR/SPHR preferred
Professionalism: requires diplomacy, confidentiality, and confidence in dealing with sensitive information.
High level of organizational skills, including great attention to detail and accuracy.
Self-confident: must be able to work and communicate with varying levels of clients (staff through partner).
Strong communication skills, both verbal and written

Minimum Qualifications: (including years of experience preferred): Bachelor’s Degree in Business Administration or related field (ideally with Human Resource concentration) OR equivalent progressive experience in field of expertise.
Minimum of three – five years of exempt level experience in Human Resources.
PHR/SPHR preferred
