FRONT OFFICE DEPARTMENT JOB DESCRIPTION – GUEST SERVICE AGENT Reports to: Front Office Manager Specific Duties1. The Front Desk Log will be reviewed for any unusual situations or conditions. The outgoing Front office Clerk should also be asked about any situations which may have been omitted from the log. 2. Count the money in the cash drawer. 3. Ability to stand and move throughout the Front Office area and continually perform essential functions. 4. Sign in for shift. 5. Verify the number of rooms occupied on the Arrivals Report.6. Review reservations noting any in-coming groups, room blocks, special requests (cribs, etc.) and VIP requirements.7. Block rooms and verify them on the Arrivals Report. Ensure that guests’ last name, check-in and check-out dates have been posted. 8. Separate guaranteed reservations from 4pm holds. Check for duplicate reservations. 9. Post all telephone, food and miscellaneous charges to guest folios. 10. Review the Housekeeping Report to ensure that it conforms to the bucket or in-house guest list.11. Review all check-out folios to ensure a zero balance and that approval codes have been posted for all credit card vouchers. 12. Contact any guests who have reached the established credit limit and ask them to settle their account today. Identify any guests who have not responded concerning notification of the exceeded credit limit and inform the Front Office Manager so that immediate action may be taken. 13. Prepare guest registration cards to pre-register guests. 14. Review any disputed charges and plan correction action with the Front Office Manager. 15. At the end of the shift, prepare a Shift Reconciliation Report and count the cash in the drawer. The Front Office Manager or designee must verify and record the deposit in the shift deposit log. The deposit is then dropped into the locked safe. 16. Write into the Front Desk Log any information pertinent to the next shift.17. Review the general situation and any unusual circumstances with the in-coming front office clerk.18. Report to work as scheduled in proper uniform and in accordance with company personal appearance and property brand standards. 19. Adhere to all Magnus Hotel Management policies and procedures.20. Issue safe deposit boxes to guests upon request. 21. Perform all guests accounting functions according to hotel operating procedures and to ensure house accounts are complete and accurate. Accurately maintain a cash bank. 22. Demonstrate the effective utilization of room rates and promotional programs to achieve maximum occupancy and average rate.
