GENERAL STATEMENT OF DUTIES:
The duties of the Administrative Assistant for Clinical Programs are related to supporting and assisting the Program Director and therapy department. This position involves clients, office, and schedule organization, contact with families, outside support agencies and other internal departments. The Administrative Assistant will be responsible for the development and maintenance of spreadsheets and databases, typing, copying, mailing, and faxing of various types of correspondence and the scheduling of outside medical appointments and consultations. The Administrative Assistant will uphold the mission, philosophy and goals of the organization while maintaining strict confidentiality of personnel and patient data and information in the performance of assigned duties.
Greets patients, families, and visitors
Provides administrative support to the Clinical and Residential Program for Moody Neurorehabilitation
Carries out administrative duties such as filing, typing, data entry, copying, building files/charts/binders, scanning etc.
Completes and maintains purchase orders for program director credit card usage, clinical, residential, and nursing orders
Scribing for clinical meetings and behavioral management meetings. Archive and maintaining notes from meetings
Completes order for clinical and residential supplies
Archiving clinical and residential documentation and documenting a destroy date
Create and maintaining patient assignment sheet
Add new patient information and print rounds sheet
Serves as a backup for other administrative assistance staff as needed
Assists with creating, maintaining, and printing daily clinical schedules
Schedules appointments for all patients as ordered by Medical Director and Nurse Practitioner
Maintains appointment and transportation calendars, communicating issues to management team
Supports completion of the clinical and residential in-service schedule, including coordinating lunches as needed
Assists with scheduling reservations for families who require hotel accommodations
Outpatient and Follow Up Duties:
Maintain outpatient sign in sheet and data related out outpatient attendance
Contacts patients/families for post discharge follow up at 60 days, 90 days, and one year
Other duties as assigned
Required Knowledge, Skills and Abilities:
1. Microsoft Word, Excel, Powerpoint and internet required.
2. Knowledge of general office procedures
3. Knowledge and use of good telephone etiquette.
4. Proficient skills in typing, filing, verbal, written, and social communication.
5. Organized and detail-oriented
6. Ability to prioritize and plan out work day so that deadlines are consistently met
7. Ability to operate all office equipment efficiently
8. Ability to display an attitude conducive to successful implementation of overall program goals, including demonstration of flexibility
9. Demonstrate NCI abilities and knowledge by successfully passing course, maintaining refresher courses as determined by NCI committee, as well as implementing the knowledge with patients
10. Maintain CPR certification by successfully passing course and refresher courses
High school diploma, prefer some college.
Minimum of two years experience in general office work with specific experience in secretarial duties, preferably in a medical setting.
