Job DescriptionResponsible for greeting patients upon arrival and makes patients feel welcome to the practice. This includes performing all general receptionist duties, scheduling patients, preparing and maintaining current patient information, answering phones, verifies all insurance information and performing general office duties. Responsible for checking in/out all patients and collection of payment. Has the ability to explain all charges and insurance to patients. Ensures all patient interaction is done in a professional, accurate and courteous manner. Must be available 7:30am - 5:30pm Monday - Friday. Must be able to work in a fast paced environment and work well in a group setting.Essential SkillsExcellent customer service and communication skills Ability to work as a team member Able to manage multiple tasks simultaneously Highly motivated and well organized with attention to detail Empathetic with patients’ needs and concerns Excels under pressure Treats patients and co-workers with respect Appropriate telephone etiquette and communication skills Substantial knowledge of general medical office procedures and terminology Strong computer and organizational skills Able to convey a positive attitude in all dealings with patients and staff members Appropriate sense of discretion in dealing with patient information and difficult situations Takes initiative to solve problems and complete projects Able to recommend products and answer questions about various skin care products and procedures Able to handle large transactions with ease Able to sit for long periods of time May include some lifting of boxes Must have excellent attendance record Responsibilities Responsible for patient check-in, greeting each patient in a pleasant and professional manner Tracks patients in the reception area and communicates with them as needed. Advises patients of any delay in appointment time as needed Enters all new patient demographic information into the computer Enters and/or verifies chart information is correct and up to date Collects surgery balances (WD portion, Anesthesia portion) Prepare scheduling deposits per providers as needed Scan/Route all provider charts and pre-operational charts Check EMA and outlook messages daily and respond Answer office phones promptly & professionally using company phone etiquette protocols Return voicemails / document calls in an appropriate manner (if needed for back office personnel) Enters and verifies patient identification and insurance cards are correct Ensures that proper authorization or referral is collected from each patient Collects payments, completes encounter forms when necessary, and prints receipts Conducts daily checks on skin care and cosmetic inventory Schedules appointments with the appropriate provider & resource (if needed) Cancels and reschedules appointments as necessary Activate patient portals Responsible for reconciling/balancing medical records daily Assists in general office duties as needed Assists patients as they check out, i.e. scheduling next appointment, accepting payment, etc. Assists in daily ICS routing Monitors inventory levels of skin care product and replenishes when necessary Checks and responds to online appointment requests in a timely manner Maintains proper office opening and closing procedures Monitors waiting room to ensure furnishings and magazines are orderly and clean Follows company policy on all HIPAA procedures/protocols (i.e. proper work stations use, securing PHI) Must be aware of all company business policies (i.e. Product Return Policy, Allowable Forms of Payment & Financing, No-Shows and Late Collections, Phone – in Credit Card Authorization/Payments) Follow and respect Employee Policies Reports to work in a timely manner and has good attendance
Education & ExperienceHigh school diploma AA/AS or BA/BS preferred At least one year prior medical office or veterinary experience preferred Must have excellent computer skills and knowledge of Word and Excel
