The Goal as Administrator is to be a leader to all the staff including management and owners as you provide valuable support and checks and balances to those in your office and the entire GJ Gardner Homes franchise system. * General reception duties * meet and greet walk-ins * answer incoming telephone calls * collect/send mail * Maintain office/files * manage general office files, correspondence, equipment, etc. * maintain neat and tidy work area * maintain neat and orderly files in conjunction with Accounts i.e. Job Binder/invoices / general * complete filing of all paperwork weekly * General correspondence * prepare correspondence as requested by Franchisee promptly * present in a professional manner i.e. layout, spelling, address, etc. (i.e. Job Specifications, Home Construction Agreement, Color Selections, Change Orders). * Liaison with Clients * attend to requirements (as appropriate) promptly and efficiently * establish and maintain happy relationships * maintain a high standard of communication and quality service at all times * Manage documentation per Job * ensure all items on Checklist are completed and quotation(s) signed off by Franchisee or appointed manager * prepare Building Contracts as directed by Franchisee or appointed manager and present for signing in Contracts Folder along with Job Specifications. * Coordinate Color Design appointment(s) to ensure complete and timely Color Selections * Coordinate completion of architectural drawings and engineered plans * liaison with City and other municipalities for permits and other building compliance issues * ensure all documentation is correctly signed and dated * Maintain Job files * set up Job Binder, complete with a guide on the front cover * maintain in a neat and orderly fashion * original quote and change order requests to be placed in Job Binder * all other documentation and correspondence filed in a separate section of Job Binder so communication between client and you are easy to find * ensure all certificates (incl. inspection certificates with clients) are filed with each Job Binder * all Job Binders stored in number order, in a lockable cabinet to be locked each night. Only Franchisee, Accounts, and Administration to have access Job Binders. * Set up Site file per Job * establish Site Binder for Supervisor, to include copies of working drawings, specifications, change orders, engineers report (if applicable), and Five Star Booklet. * Maintain Job information in the computer system * input change orders promptly * input color selection * enter ALL pertinent dates thru Job Admin >Job Details * Maintain & monitor final Punch List items through Maintenance * Change Orders * prepare and present Quotes to the Client promptly * obtain formal acceptance and payment before processing the request * make sure the construction Supervisor and Estimator are aware of all changes so they can ensure materials are on-site/ correct and are to be installed and are estimating properly; a copy of approved Change Orders to be inserted in Supervisor Binder * Finals Tasks * prepare all applicable Handover documents; including Homeowners Manual * Complete home warranty enrollment paperwork complete with Client signature * prepare closing gift per franchisee standard * perform Happy Handover complete with a family photo and red carpet presentation * Coordinate utility switchover to Client * General * attend, participate and contribute to a weekly office meeting * take minutes of the meeting when requested * participate and contribute to the team environment * portray a professional image and provide quality service * be willing to learn, enhance skills, take responsibility, and be accountable.Job Types: Full-time, InternshipPay: $32,000.00 - $45,000.00 per yearSchedule:8 hour shift
Monday to Friday
