Job Details: This position requires someone to oversee the day-to-day “to-do’s” to help keep our office environment running smoothly who can also assist administrative staff with various clerical/data entry projects. Tasks include but are not limited to: Maintenance of Office Aesthetic – watering plants, making sure bathrooms are stocked, keeping kitchen stocked and organized, keeping office supplies stocked and organized. Candidate should have great attention to detail and anticipate what needs their attention. If you see something that needs to be done you do it without waiting for someone to tell you to do it and if you are not sure about an expectation you will communicate with the executive staff promptly. Coordinating Office Events – preparing conference room and refreshments for visitors, planning and organizing office holiday parties, circulating birthday cards, etc. Candidate must be able to communicate with executive staff and provide options and details for events, stick to a budget and plan in advance. Assist Executive Staff - make appointments on their behalf, make travel arrangements, work on special projects, and so on. Candidate should be a team-player in service to others with a “can-do” attitude that is willing to communicate options to executives and follow through in making needed arrangements. Data Entry - Assist with preparing and imputing data for administrative staff for various needs such as shipping claims, state sales taxes,etc.
Candidate requirements: Patience – Executives may not be available to relay answers to assistant immediately and you will have to accommodate their availability and be willing to check-in on action items regularly.
Energy – Manage time effectively and operate with a sense of urgency and expedition and be willing to take on any magnitude of task, small or large.
Flexibility – Be willing to work with any team member in a supportive capacity and be willing to adapt and adjust to their needs with consideration and respect.
Skill Requirements: Bachelor’s Degree or Associates Degree with at least 3 years of experience High level of computer skills including data entry experience with Microsoft Excel and ability to navigate the internet with ease Professional level of writing and typing skills Knowledge of programs including excel, word and outlook (on a basic level) Willingness to make calls and communicate with others Any background in gardening, farming, integrated pest management, or sustainability is advantageous.
