Detail of : Administrative Coordinator Job Opening in Phoenix

(Current employees of or affiliated companies are not eligible for sign on bonus) The Administrative Coordinator is responsible for completing daily Payroll processes and performing Accounts Payable functions for weekly payroll at the branch level.
ESSENTIAL FUNCTIONS/KEY ACCOUNTABILITIES:
Requests and compiles Prevailing Wage information and submit to Corporate Payroll team in accordance with Company procedure.
Audits daily truck file time sheets against scheduled work, to be completed by noon for previous day.
Update File Tracker, to be completed daily.
Validates daily time records to ensure accuracy of time, project, and Prevailing Wage information.
Complete daily summary for payroll recap sheet to include with time records for submission to Corporate payroll team for processing.
Support Payroll close processes timely and accurately each week.
Process weekly personnel per diem payments.
Requests funding of branch checks.
Generate Purchase Orders numbers for vendor order placing.
Purchase Order data entry upon receipt of vendor invoice, including appropriate GL coding, include file attachment.
Support team with completing and submitting Expense/Reimbursement Reports.
Perform other duties as assigned by the Division Director.
Assist with bank and financial audits as needed.
KNOWLEDGE, SKILLS AND ABILITIES:
Demonstrates ability to always maintain confidentiality, handle employee matters effectively and handle employee inquiries with sensitivity, tact, and diplomacy. Ability to read and interpret documents such as contracts, procedural manuals, and revenue reports
Strong attention to detail and able to handle multiple tasks simultaneously
Ability to calculate figures and amounts such as bids/proposal totals, discounts, sales tax
Proficiency in accurate submission of data is required
Ability to communicate effectively, both verbal and written, with all levels of employees, management, outside vendors and customers.
Ability to analyze situations, gather appropriate facts and determine appropriate action
Maintains customer confidence and protects operations by keeping information confidential
EDUCATION AND EXPERIENCE:
High school diploma or equivalent required
Advanced computer capabilities including in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
ERP (Enterprise Resource Program) experience preferred
Experience with ADP preferred
The ideal candidate will have prior experience in Manufacturing, Industrial Services, or Construction.
