Job Details Job Location Skidmore Sales and DistributingWest Chester, OH Job Summary The Warehouse Clerk receives, requests and indexes all Certificate of Analysis (COA) for all incoming stock including outside warehouses. Schedules all inbound truckloads and outbound LTL shipments. 1ST SHIFT 9AM-6PM PRINCIPAL DUTIES & RESPONSIBILITIES
Document Database Management Receives, scans and stores COAs sent from vendors in temporary computer folder. Once product is received, renames the documents as per SageX3 naming conventions and indexes into the SageX3 document management system. Make sure each COA corresponds to the correct item and lot and resolve any discrepancies. Maintain and enter COA information into the TraceGains website when appropriate. Stores COAs sent from vendors in folder, once product is received, indexes COAs to a document management system taking care to make sure each COA corresponds to the correct item and lot. Runs report daily to see what COAs are missing, finds and indexes or requests COAs from Vendor(s). Distributes report to supervisor daily.
Freight Coordination Via e-mail or phone schedules inbound truckloads, making sure they’re on time. If not notifies purchasing. Runs report daily to schedule pick up of all LTL freight shipping that day. Coordinates with Shipping manager on timing of pick-ups. Check drivers in and direct them to appropriate dock.
Warehouse Support Coordinates with Shipping Manager on timing of pick-ups and follows up any needed LTL freight shipping. Downloads and files all damage pictures taken by warehouse associates. Assisting in inventory counts / checks. Assist with office and administrative duties in the warehouse office.
Clerical/General Administrative Responds to routine emails, phone calls, etc Makes copies, prints documents, mail delivery, etc Files paperwork

Qualifications Education/Experience Knowledge and skills at a level normally acquired through the completion of an Associate degree preferred. High school diploma or GED required. 1-3 years of professional experience preferred, preferably in a related field. Licenses/Credentials/Certifications N/A Specialized Knowledge/Skills/Abilities Calm, organized, patient, diplomatic, and confident demeanor in working with staff and customers Advanced attention to detail and accuracy in all work Ability to prioritize own wide-ranging work load and work independently Ability to communicate both verbally and in writing to internal and external customers Working knowledge of Microsoft Office applications: Word, Excel, Outlook Ability to work collaboratively with colleagues, vendors and customers
WORKING CONDITIONS: Working Hours/Environment Office hours are 40 per week – Monday – Friday, 7:00 – 4:00; may require additional hours periodically, including evening and weekends depending on business needs Work typically performed in an indoor warehouse setting. Occasional exposure to wet and/or humid conditions; moving mechanical parts; high, precarious places; fumes or airborne particles; dust, outside weather conditions; risk of electrical shock; and vibrations. Moderate to loud noise level. Tools and Equipment Used Personal computer, copier, fax/scanner, phone, and other typical office equipment Travel Minimal – less than 5% of the time Physical & Mental Demands Frequently required to sit at a desk/workstation for long period of time Ability to work at a computer terminal for extended periods of time Digital dexterity and hand/eye coordination in operation of office equipment Light lifting and carrying of supplies, files, etc. Ability to speak to and hear employees/clients via phone or in person Body motor skills sufficient to enable incumbent to move around the office environment
