Position Title: Concierge Department: Admitting Job Description: Shift: MondaySaturday, shifts vary OUMC/Patient Tower General Description: The primary responsibility of a patient concierge is to focus on improving the patient and visitor experience in the hospital or healthcare setting. Acts as the first point of contact between patients and visitors and our organization. Greets patients and visitors upon arrival and ensures that they feel valued and welcomed.. Essential Responsibilities: Responsibilities listed in this section are core to the position. Welcomes patient and family members in a professional manner and answer patients and visitors questions.
Greets patients upon arrival and navigates patient flow.
Knows when it is appropriate and contacts the nursing staff for emergency medical needs.
Oversees the daily activities of the front desk and lobby areas.
Assists with check in process; monitor patient registration tracker.
Performs lobby rounding to ensure patients are kept aware of their wait time expectations.
Is empowered to make decisions on their own to help patients and/or their family members and escalate accordingly.
Understands that our reputation is only as good as our patient's first impression; ensure it is the best.
Consistently provides patient flow updates to PTAC leadership and other staff.
Assists in resolving real-time patient concerns.
Addresses any negative experiences by empathizing and apologizing and then try to come up with a satisfactory solution.
Allows the patient and/or their family members the opportunity to tell you about their hospital experience throughout all of the different stages of their visit whether it is positive or construction feedback. Shows compassion and empathy regarding their concerns.
Interviews incoming patients, his/her relatives, or other responsible individuals to obtain identifying and biographical information with insurance and financial information as needed
Obtains all signatures that are necessary for treatments, release of medical information, assignment of insurance benefits, and payment of services from legally responsible parties.
Obtains copies of necessary identification and insurance cards.
Explains policies regarding services, charges, insurance billing, and payment of account. Requests full or partial payment for services rendered according to collection policies.
Provides feedback about patient experience opportunities to leadership team.
Maintains cooperative and respectful working relationships and supports all staff in the performance of their duties.

General Responsibilities: Practices and adheres to our Hospital “Code of Conduct” philosophy and “Mission and Value Statement”
Performs other duties as assigned

Minimum Qualifications : Education: High School or GED Experience: Minimum of 2–4 years of customer service experience, hotel, restaurant or retail required.
24 years of previous Patient Access experience preferred. Licensure/Certifications/Registrations Required : None Knowledge, Skills and Abilities: Must be positive and encouraging with a professional demeanor.
Must be compassionate, understanding, attentive, and anticipate patients’ needs, while taking ownership of getting things done.
Demonstrates awareness of and sensitivity to patients’ rights and maintains patient confidentiality at all times
Excellent Customer Service SkillsThe goal of the Concierge is to provide an excellent patient experience.
Multi-TaskingThe Concierge must be able to multi-task and ensure that the check-in process is seamless for the patients and/or their family members while also being able to direct visitors to the appropriate areas of the hospital.
Has the ability to establish and maintain long-term customer relationships, building trust and respect by constantly meeting and exceeding expectations and providing a great patient experience.
Communication – Must be able to communicates clearly and concisely both verbally and in writing.
Interpersonal skills – Must be able to work effectively with other employees, patients and/or their family members as well as any other external parties.
PC skills – Demonstrates the ability and proficiency to utilize a computer; specifically a hand held tablet for any and all applications required.
Policies & Procedures – Demonstrates knowledge and understanding of organizational policies & procedures.
Basic skills – Must be able to perform basic mathematical calculations, balance and reconcile figures, punctuate properly, spell correctly and transcribe accurately.
