Provide administrative support to Directors of Multicultural Student Affairs and Office of Gender & Sexuality.
Essential Job Functions Provide administrative support to both directors; assist with the maintenance of budgets and tracking of expenses, process mail, maintaining supply inventories and ordering supplies, filing, typing/preparing documents, reserving rooms and vans, arrange transportation and schedule drivers, and maintain calendars (administrative, students, and events). Maintain social media vehicles, list-servs, and databases. Manage daily operations of MCSA/OGS student center. Assist with the coordination of various programs and services to create and sustain ways to connect students and promote leadership development across ethnic, racial, cultural, religious, gender, national origin, socio-economic and sexual orientation lines. Coordinate arrangements for programs and speakers, including travel (for staff, students and guests), itineraries, reserving university rooms, catering, mailings and other relevant details. Assist in the planning, execution and coordination of campus-wide celebrations, community outreach, and educational programs; attend events as needed. Provide support for students/initiatives and various programs by maintaining effective communications and working relationships with academic departments and key university offices such as First-Year Programs, Academic Resource Center, Financial Aid, Admissions, Dining Services, Registrar’s Office, Knowlton Center and the Writing Center. Serve as a resource for students as they navigate academic and administrative processes of the institution. Assist in the organization, execution and evaluation of pre-orientation program (Paving the Way), leadership conferences (Great Lakes Colleges Association Student of Color Leadership, Alliance for Black Student Leadership, Women’s Leadership Conference), trainings (OGS allyship trainings) and retreats (Posse Plus, Rainbow Retreat). Actively engage in meetings and initiatives sponsored by the Division of Student Development, Dean of Students Office, and Diversity and Inclusion. Perform other duties as assigned, including occasional evening and weekend work.
Minimum Qualifications High school diploma or equivalent. A minimum of three years relevant office experience. Must possess a strong desire to work with students and an understanding and sensitivity to issues and concerns faced by underrepresented students. Must have excellent interpersonal, communication, and relationship building skills and be able to interact positively with a diverse community. Strong organizational skills and attention to detail. Must possess integrity and initiative, with a demonstrated history of working both independently and as a member of a team. Functional knowledge of website development, Microsoft Office programs (Word, Excel, PowerPoint and Publisher), and Google Suite.
Preferred Qualifications Some college education. Functional knowledge of Trello.
