Tuition ReimbursementTo help our staff develop their skills, we offer a tuition
reimbursement program good for courses taken at any of the Community College System
colleges. DESCRIPTION OF JOB: Position is responsible for overseeing the administrative assistant functions and technical support
for the Director of Facilities Services and Facility Services Maintenance, Custodial and Grounds
Supervisors. Successful candidate will have experience involving strong analytical skills and
organizational skills. Assist the Director of Facilities with Office of the State Architect/State Buildings Program’s contract,
procedural, and documentation processes and paperwork for controlled maintenance, capital
construction and internal construction projects. Help project team comply with required processes
to meet College and State Buildings Program schedules; communicate the plans and monitor
progress via email, phone calls, meeting minutes, and other appropriate means of written and oral
communication. Maintain budget and expense tracking of capital and maintenance projects. Initiate and/or track College procurement processes, including: purchase requisitions, p-card
purchases, invoices, payment applications, vendor agreements, budgets, account reconciliations,
etc. Communicate with Department staff, Business Services staff, vendors, and others as
necessary to evaluate proposals, complete documents, and finalize transactions. Make purchases
up to authorized limits as requested by Director and Supervisors. Supervise one Administrative Assistant, oversee work performed, provide training as required.
Perform personnel system oversight including goal setting, performance evaluations, and leave
requests. Monitor and approve P-card expenditures. Prepare a plan and training for Administrative
Assistant to act as backup when absent from campus. Maintain, process and/or establish Department records. Includes standard paper and electronic
(local and share drive) filing of correspondence and accounting; personnel documents such as
updating position descriptions, providing performance evaluation forms to supervisors; updating
Department webpage. Create indexes or other logs of information to allow for easy information
access by Director and Supervisors in the department. Maintain and utilize databases as required
to complete other duties. Databases include (Community College System) Banner, Department
spreadsheets for utilities, vendors, budgets and others as may be required. Utilize such information
to prepare reports (current of historical information) for use by Director or Supervisors as
requested. Assist the Director in reviewing blueprints and job specifications. Utilize several computer programs daily with accuracy. Programs used include Microsoft Office
2016 to include Word to compose high-level correspondence and reports, edit and distribute
memos, etc., utilize Excel to create and maintain spreadsheets, tables and formulas,
upload/download and manipulate data in spreadsheets to maintain records; and Outlook to
manage calendars, set meetings, etc.; and Banner. MINIMUM QUALIFICATIONS, SUBSTITUTIONS, CONDITIONS OF EMPLOYMENT &

which must include a minimum of one year of experience working with construction processes and
contract documents. Critical thinking skills and computer literacy is a must. Effective verbal and
written communication skills are necessary for success in this position. Commitment to creating an

Part time experience will be prorated. Substitutions: College, university or non-correspondence business school course work from an
accredited institution in Business or similar field may substitute on a year-for-year basis for up to
