Overview:

Purpose: The Administrative Assistant position exists to serve as an administrative aide to the Genesee/Shiawassee Regional Coordinator and the Flint Citadel Corps Officers, and to advance The Salvation Army’s holistic mission through interaction with the general public, performing administrative clerical services and coordinating office management functions.
Responsibilities: Primary Duties and Responsibilities: Maintain confidentiality in all aspects of Salvation Army work.
Prepare official correspondence; reports; programs; Advisory Board, Women’s Auxiliary, and Corps Council agenda/minutes; and other items as directed for Genesee County/Flint Citadel.
Attend Advisory Board, Women’s Auxiliary, Corps Council, and other meetings as requested to take minutes.
Schedule appointments and meetings with or for the Regional Coordinator and Flint Citadel Corps Officers as directed.
Maintain and Coordinate calendars and schedules including days off and communicate conflicts/concerns with leadership.
Compose and file correspondence and materials for Regional Command/Flint Citadel.
Maintain office filing system including “Bring Up” files as well as copies of all correspondence sent and received, reports, information, and mailing lists and keep files current through daily filing;
Receive and route all incoming mail, correspondence, telephone calls, or other communiques to proper staff;
Keep personnel administration files up to date for Regional Command/Flint Citadel;
Maintain office supply inventory and order replacement supplies as needed in accordance with purchasing procedures;
Maintain and file stats for Regional Command/Flint Citadel;
Maintain Shelby membership module for Flint Citadel;
Maintain network printer/copy machine in working order including scheduling required service;
Maintain the keyless entry system;
Operate and update electronic marquee;
Coordinate requests for building/room usage for meetings and special events;
Maintain and manage parking lot renters;
Maintain the Flint Citadel corps calendar;
Receive visitors and connect them with appropriate staff, ensuring a safe and controlled work environment;
Provide basic responses to callers regarding hours of operation, scope of services, and/or any general information regarding The Salvation Army;
Process bell ringer hire packets with Divisional Human Resources for Flint Citadel;
Count, along with the corps treasurer, Flint Citadel meeting collections;
Perform other duties as may be assigned by the Regional Coordinator and the Flint Citadel Corps Officers.


Qualifications:
Qualifications: The Administrative Assistant must be able to uphold the Christian standards, position statements, mission, and ministry of The Salvation Army in all areas of their job responsibilities. Understanding the principles of the Army’s spiritual foundation and mission is most beneficial to the overall coordination, consultation, and networking of those he/she will be working with. He/she should: Possess a pleasant demeanor, good greeting and communication skills, team-building and personnel management skills; must be able to work well with vendors, the public, volunteers, and staff;
Pass all background checks;
Maintain approved driver status with The Salvation Army;
Possess competency with multi-function copiers/printers;
Have the ability to type 60 words per minute (minimum);
Be able to responsibly represent the humanitarian interests and spiritual mission of Salvation Army programs and services in the community to other social and human service agencies, volunteer groups, and civic organization.


Education/Experience: High school diploma or equivalent; four-year college degree preferred

Five years or more of similar work experience is desirable Computer Skills: Demonstrate skills or aptitude in using current MS Windows operating system; Microsoft Word, Excel, Access, PowerPoint, and Publisher; Outlook Email, Shelby, Stats program, and other software as needed
Have working knowledge of Facebook and basic website maintenance
