The Vacancy, Basic Function, Minimum Qualifications THE VACANCY:
This position is Open and Promotional, which means that all are welcome to apply and current employees in permanent positions are eligible to receive seniority credit and promotional placement. There is currently one vacancy located at the Cloud Campus (TK-12 program) working 8 hours per day, 5 days per week, 11 months per year.

BASIC FUNCTION:
Under the direction of the Principal at an assigned Alternative Campus High School, oversee the front office activities of an assigned Alternative Campus High School; coordinate communication between the Principal's office and faculty, students, parents and outside organizations; provide clerical assistance to the Principal, staff and faculty as required; lead and provide work direction to the activities of classified staff;
MINIMUM QUALIFICATIONS:
Any combination equivalent to: graduation from high school supplemented by college-level coursework in business, office management or related field and three years increasingly responsible clerical or secretarial experience.
LICENSES AND OTHER REQUIREMENTS:
Valid First Aid and CPR Certification issued by an authorized agency must be obtained within six months of employment.

The supplemental questions to the application will be reviewed and rated for certification. These questions are required at the time of application and are qualifying.
An eligibility list will be established for successful candidates which will be used to fill open positions during the life of the list.
Given the current COVID-19-related closures of our offices and schools, examinations and interviewing will likely be done virtually using different online/internet platforms that require video recording or conferencing capabilities, as well as access to basic Microsoft Office Suite Software.
The Computer Skills Exam and Keyboarding Performance Exam is tentatively scheduled for the week of September 14th. Those successful with the qualifying computer skills exam and keyboarding performance exam will be invited to participate in the written exam which is tentatively scheduled for the week of September 21st. The top scores will be invited to participate in the oral exam/qualifications appraisal interview which is tentatively scheduled for the week of September 28th. You will be notified via email, as indicated on your application, regarding your ability to participate in the examination phase of the recruitment.

Job Responsibilities REPRESENTATIVE DUTIES:
ESSENTIAL DUTIES:
Oversee the front office activities of an assigned Alternative Campus High School; coordinate communication between the Principal's office and faculty, students, parents and outside organizations.
Provide clerical assistance to the Principal, staff and faculty as required; scan and photocopy documents; prepare, type and distribute email and written communications to faculty, District and school staff.
Greet and provide information to students, staff and the public concerning school policies, procedures, actions, activities and schedules as appropriate; assist students and parents with the proper completion of forms and applications; review completed forms for accuracy and completeness; process forms and related materials.
Initiate and answer phone calls and take messages; provide information and assistance to students, teachers, parents and others regarding school functions and activities; assist with registration functions as assigned; schedule dates and assist with the completion of forms.
Assist students, staff and visitors regarding attendance issues; place and receive phone calls and accept notes regarding student absences; process and verify student absence information from parents and teachers; issue admission and tardy slips to returning students to assure accurate absentee reporting.
Maintain payroll for certificated, classified and other personnel; maintain accurate records of substitute teachers and accounts to be charged.
Request substitutes as required; assist in orienting substitute personnel; provide keys and instructional materials and maintain related records.
Collect and account for monies collected in conjunction with school activities and supplies including club accounts, ASB funds, yearbooks, field trips, grants, donations, restricted funds, donations, student activities, transportation and other fees in accordance with established procedures; prepare and make bank deposits.
Maintain accurate and current student emergency release information; oversee the release of students to authorized parents, guardians or approved individuals.
Lead and provide work direction to the activities of classified staff; assure compliance with established procedures; assist in setting work priorities.
Research, compile and verify a variety of information; compute statistical information for a variety of reports; process and evaluate a variety of forms and applications related to assigned functions; duplicate and distribute materials as needed.
Prepare and maintain a variety of data, records and reports related to office programs, financial activity, student information, personnel and assigned duties including permanent records, cumulative folders, transcript files and demographic information; assure accuracy and completeness of data, records and reports; establish and maintain filing systems.
Prepare purchase orders for various departments utilizing an assigned database; maintain records concerning assigned budgets; monitor assigned budgets and funds; identify appropriate products to procure as required; communicate with vendors and outside organizations to rectify shipping inaccuracies or issues.
Perform accounting and financial record-keeping duties to assure sound fiscal management of student body and school funds; assure compliance with applicable provisions of the California Education Code.
Receive, sort and distribute mail; open mail and compose responses independently as appropriate; prepare and distribute informational packets and bulk mailings as directed.
Operate a variety of office equipment including a computer and assigned software.
Administer basic first aid and screen ill or injured students as assigned in accordance with State laws and District regulations; call paramedics as needed.
