8 AM-4:30 PM Responsibilities
Job Summary: An OAS performs functions associated with processing patient appointments in outpatient clinic. OAS completes tasks of reception, registration, charge capture, charge entry if needed, appointment scheduling, and telephone management. The OAS interacts with patients, physicians, nurses and billing personnel.
Responsibilities: Receives visitors, patients and/or staff members with a pleasant helpful attitude and provides information and direction, answers questions and gathers information in a courteous manner.
Provides direction and assistance requiring working knowledge of departmental organization and procedures.
Knows and applies specialized terminology used in the functional area.
Provides such clerical assistance as completing forms, compiling charts, inputting data into a computer data base, maintaining files, inventory of forms and assembling patient medical record upon arrival.
Operates and troubleshoots standard office equipment.
Troubleshoots common computer problems and shows a willingness to learn additional programs used in the functional area
Registers patients upon arrival, correctly obtaining patient's name and date of birth
Review daily efforts to edit and correct registration and billing errors
Posts charges if applicable
Monitors accuracy of patient schedules
Identifies ways to reduce follow-up, repetitive or corrective work
Resource for staff in regards to registration and billing activities
Sorts patient calls, determining the urgency of a situation and the appropriate action or refers to appropriate staff for follow up
Serves as front-line problem solver and focal point for handling complaints
Reviews upcoming schedules for accurate demographic and financial information
Participate in the coordination of multiple schedules for change in availability, bump list and re-scheduling appointments
Utilizes department and institutional scheduling systems for coordinating patient appointments and tests. Able to troubleshoot and utilize appropriate backup systems if systems go down.
Participates in resolving scheduling problems, exhibiting sound judgment and realistic understanding of the issue/problem; uses patience and understanding when dealing with patient questions/concerns.
Is able to retrieve information quickly and consistently, both manually and electronically.
Requests, sorts, and organizes medical record and pertinent clinical information according to department guidelines
Answers questions within realm of responsibility; directs other questions to leadership as appropriate.
Gathers appointment demographic and insurance information on patients and obtains an appointment number if appropriate
Provides general information to patients regarding directions and wayfinding in the area/medical center.
Maintains confidentiality of and processes and prioritizes incoming materials in timely manner.
Handles mail as requested.
Participates in the coordination of physician specific appointment wait list.

Qualifications: High School diploma and 2 years related work experience; or an equivalent combination of education and experience. Medical terminology experience preferred. Demonstrated ability to word process documents and enter data into a database. Demonstrated skills related to achievement of customer satisfaction. Demonstrates the ICARE values to patient, families and staff. Ability to act as a resource to less experienced staff. How To Apply
